What to email a school, and when
These seven templates cover the emails you will actually need: a first enquiry to a shortlist, written confirmation of weekly contact hours for visa purposes, accepting an offer, requesting a Form I-20, deferring a start date, requesting a refund after a visa refusal, and changing accommodation. Replace the bracketed text and send.
Copy, replace anything in [BRACKETS], send. Written by people who have read a lot of school replies, each one asks for the things schools tend not to volunteer.
First enquiry to a school
Before you apply. Send this to every school on your shortlist.
Subject: Course enquiry, General English, [MONTH YEAR] Dear Admissions team, I am interested in studying English at [SCHOOL NAME] and would be grateful for some details before I apply. I am a [NATIONALITY] passport holder, currently at roughly [BEGINNER / INTERMEDIATE / ADVANCED] level, and I am planning to study for about [NUMBER] weeks starting in [MONTH YEAR]. Confirming weekly hours for visa purposes
Critical if you are planning to study without a student visa.

Because my travel arrangements depend on it, I need written confirmation of the exact number of scheduled contact hours per week, including any compulsory workshops, laboratory sessions or tutorials that form part of the timetable. Could you confirm whether that figure includes every compulsory element, and provide it on school letterhead or in an email I can present if asked? Please also confirm the course purpose, whether it carries academic credit, and the immigration status required for enrollment. I want to confirm the correct route before booking travel. Accepting an offer

Requesting a Form I-20
Full-time US study only. Sent after you accept.
Subject: Form I-20 request, [YOUR NAME], [APPLICATION REFERENCE] Dear International Student Office, I have accepted a place on the [COURSE NAME] course beginning [DATE] and would like to request my Form I-20 so that I can begin the F-1 visa process. Deferring your start date
When a visa is delayed or plans change.
Subject: Request to defer start date, [YOUR NAME], [APPLICATION REFERENCE] Dear [NAME], I am writing to ask whether I can defer my start date on the [COURSE NAME] course. I am currently booked to begin on [ORIGINAL DATE]. Because of [VISA PROCESSING DELAY / PERSONAL CIRCUMSTANCE], I do not expect to be able to travel in time, and I would like to move to [NEW DATE] if a place is available. Could you confirm: 1. Whether a place is available on that date 2. Whether my deposit and any tuition paid transfer across in full 3. Whether any deferral fee applies 4. Requesting a refund after a visa refusal
Check the written school visa-refusal policy, required evidence and deadline before requesting a refund.

Changing your accommodation
When a homestay or residence is not working out.
Subject: Accommodation change request, [YOUR NAME] Dear [ACCOMMODATION OFFICE], I am currently staying in [HOMESTAY / RESIDENCE] at [ADDRESS], arranged through the school, and I would like to ask about moving. The difficulty is [BE SPECIFIC AND FACTUAL, e.g. the commute is over 90 minutes each way / the room is not as described in the booking / dietary requirements I confirmed in advance are not being met]. I have raised this with [NAME] on [DATE] and the situation has not changed. Could you let me know what alternatives are available from [DATE], what the cost difference would be, and how much notice is required? Common questions
What should I ask a language school before applying?
Ask for exact weekly contact hours, an itemized total cost, average and maximum class size, available start dates, the accrediting body, the refund policy if a visa is refused, and accommodation costs. Ask for all of it in writing, how a school answers tells you how it will treat you once you have paid.
Should I write to schools in English if my English is weak?
Yes. Use these templates and change only the bracketed parts. Schools are entirely used to receiving imperfect English from prospective students. That is what they teach. Writing in English also gives them a rough sense of your level.
Why does written confirmation of weekly hours matter so much?
Hours help describe a course but do not determine visitor eligibility. Ask for the purpose, credit, timetable and immigration requirements in writing before booking.
